How to Add a Customer

Set up a customer record — contact details, credit limit, and the settings that keep your first quote from getting stuck.

Open CRM → Customers, then + New Customer

From the sidebar, go to CRM. You'll land on the Customers tab by default (there's a separate Pipeline tab alongside it for tracking deals before they're a customer at all). Top-right of the toolbar, click + New Customer.

Fill in the basics

Company Name is the only field that's actually required. Everything else — Contact Name, Email, Phone, Account Owner — can be filled in now or added later from the customer's own record. Account Owner defaults to you, with an "Unassigned" option if you'd rather leave it open.

Set the billing and shipping address

Billing Address is a free-text box — street, city, postcode, country, however you'd write it on an invoice. Shipping Address has a "Same as billing" checkbox, ticked by default, so you only need to fill in a separate shipping address if one actually exists.

Decide the credit limit

Credit Limit comes pre-filled at 10,000 in your base currency — a sensible starting point for a new account, not a system requirement. This is what stops a customer's open balance running away from you: once their outstanding quotes and orders combined exceed this number, any new quote or order for them hits a credit hold and can't be issued until it's cleared or the limit is raised.

If you genuinely don't want credit checking for this account — a cash-on-delivery customer, say, or an intercompany account — tick "Pro forma account — no credit limit checks" instead of setting the limit to zero.

Watch out for this

If you clear the Credit Limit field entirely rather than leaving the 10,000 default, it saves as 0 — which means the very first quote you try to issue for this customer will immediately hit a credit hold. If you want no limit at all, tick Pro forma; don't leave the field blank.

Save

Click Create Customer. You're taken straight back to the customer list — the new record doesn't automatically open a detail view or a quote screen. From here, every customer's card carries its own Draft Quote and Book SO buttons, so you can go straight into your first document without opening the full profile first.

Worth knowing about, once the basics are in

  • ·Multiple contacts. A customer isn't limited to one name — open their record and use "+ Add Contact" to keep a full roster (name, job title, email, phone), with one marked as primary.
  • ·Multiple saved addresses. "Manage Addresses" on the customer record lets you save more than one billing and shipping address, each with its own label — handy for a customer with several sites. You can also save a new one straight from inside a quote, without leaving it.
  • ·Quick-add from the Pipeline. If you're tracking a deal before it's a firm customer, "New Opportunity" on the Pipeline tab has its own inline "+ New Customer" shortcut — a lighter, faster version of this same form.
